CertainTeed has an exciting career opportunity for an Office Administrator based in Mississauga.
This role provides day to day support to plant operations, with a primary focus on administration and related responsibilities. Reporting to the Plant Manager, the position also supports human resources, production, maintenance and engineering, and shipping. The incumbent will maintain the plant paper flow as well as the financial area of the plant doe smooth operation.
In addition to regular office and administrative duties, this individual will help with plant's communication, file management, and company housekeeping, and will assist the social committee with all employee engagement activities. The Office Administrator is expected to develop and maintain effective working relationships with all team members, as well as internal and external stakeholders. A consistently professional, respectful, and diplomatic demeanor must be upheld when interacting with employees.
Key Responsibilities:
- Receive all packing slips in SAP
- Maintain UKG/Kronos Payroll system for plant employees
- Process full cycle bi-weekly payroll for union/hourly employees, using payroll application in accordance with Canadian labour laws, company policies, and collective bargaining agreement
- Ensure that stat pay, overtime pay, vacation pay, hours, etc. are calculated accurately
- Distribute and upload plant wide communications via SGTVs
- Maintain personnel files ensuring high levels of confidentiality in accordance with company policies and procedures
- Be an active participant on the People Development Pillar (WCM)
- Perform union/hourly onboarding for new hires
- Liaison with corporate payroll team on any hourly employee payroll disputes
- Liaison with corporate HR on completing ECN forms for hourly employee life cycle
- Perform cycle counts of Raw Materials Weekly and Finished Goods monthly or as needed. This process must be performed at least once a month to be compliant with Saint-Gobain regulations
- File packing slips and invoices
- Track hourly vacation for the plant
- Upload paper reel shipments into In4.0rm
- Maintain Roll tracking in In4.orm (moving returned rolls out of 'current status'
- Medius - Code all Non-PO Invoices
- Medius - Investigate and resolve all PO Invoices in "Analyze" status
- GRIR - Identify all PO's received that need paying
- GRIR - Work with MRO buyer to resolve any Payment Variance issues
- Audit Requirement Compliance
- Rock Inventory and Surveys - Receive all incoming rock shipments in both 0608 and 0644
- Coordinate Rock Surveys at least quarterly, maintaining and resolving issues.
- Reclaim Inventory and Surveys - Receive all incoming reclaim in 0608 Lakeshore and Hazelhurst
- Month End Reports - Do all month end reports for People Pillar
- Maintain Plant Training Records - Maintain all Training Records for Plant and for yearly submission to France
- Track inventory, resolving any COGI issues ASAP.
- Facilitate employee change notifications (STD, LTD, hire, layoff etc).
OTHER DUTIES AND RESPONSIBILITIES (Duties performed occasionally or in addition to essential duties.)
- Prepare reports; key payroll up to date before month end.
- E-Mail any invoices received to accounts payable.
- Review Medius; ensure proper postings of invoices.
- Prepare meeting arrangements when requested; for example booking rooms and arranging food
- Arrange Special outings (year end salary) if required.
- Perform other duties and responsibilities as assigned by management.

Qualifications:
- Post Secondary education in a related field is required
- Fast learner with excellent working attitude
- Detail oriented with ability to prioritize and organize work effectively
- Ability to work in a high volume environment and meet deadlines
- Must have a minimum of 5-10 years experience in an office administrator role.
- Ability to multi-task in a fast paced environment.
- Must have solid problem solving skills.
- Must posses strong computer skills; these include MS Excel, SAP and UKG/Kronos, Medius and In4.orm.
- Excellent communication skills.
- Confidentiality due to the sensitive nature of business information.
