Description du poste
Context :
Our Business (BD) division, Technology and Technical Support (T&TS) is dedicated to providing our customers with sustainable, efficient and competitive solutions, technologies, catalysts and adsorbents, as well as services for all Axens (Hydrotreatment and conversion of oil and biomass, petrochemical production and purification, gas and water treatment, CO2 capture).
T&TS BD is responsible for the performance achieved in Axens’ customer processing units and for the fulfillment of our offer to meet market needs in a competitive manner and meet the challenge of the energy transition period.
In this Business Division, the petrochemical product range covers the technologies and products associated with the aromatic and olefin market segments. It is composed of a team of highly qualified technological engineers who are at the crossroads of Axens' core business:
- Contribute to market analysis,
- Lead R&D programs to maintain and develop our portfolio of solutions, offering innovative improvisation
- Promoting Axens portfolio of solutions
- Robust and competitive technical proposals for development and defence in response to tenders, support sales,
- Build, maintain and share strong expertise through project execution,
- Provide first-quality after-sales services with technical support from the operating process units.
Missions :
Your main missions are as follows:
You will be responsible for the administrative tasks of assistantship: scheduling, travel management, organisation of stays in Paris of clients, residents and foreign delegations, you will also be supporting the organisation of internal events such as our quarterly meetings, management committed.
As part of activities related to the arrival of new employees:
- You are in charge of access rights computer and software and coordination of administrative elements if necessary.
In the context of documentary activities:
- You work on proposals and also formatting.
As part of customer visits:
- You are responsible for booking travel and hotels.
- You send the information to IFPEN and our sales team if necessary.
In the context of the specific activities related to the Furnaces Product Line, you are responsible for the following actions:
- Monitoring of the email box of the service.
- Receipt, grouping, ranking and sharing of tenders.
- Preparation of pre-qualifications for customers and response to administrative requests from our customers’ purchasing departments.
- Participation in the weekly proposal meeting to select offers to follow and follow up.
- Response to customers for information on the follow-up to the tenders and/or transfer to other subsidiaries abroad according to the commercial areas.
- Managing the Excel file of tenders received, declined, tracked, then won, lost, in order to track the KPIs of the Product Line Ovens (volume of the market accessible, volume quoted/declined, volume earned/quoted).
- Storing technical and commercial documents of tenders in the dedicated directories.
- For offers with a probability greater than 50%, request to open an SAP reference for the forecast of the load.

Description du profil
Knowledge and required level
With a BTS diploma in management or administrative assistant, or equivalent, you will have at least 5 years' experience as an assistant in a team or technical department.
Ideally, you will have experience in the administrative management of responses to invitations to tender and contacts with customers.
You have an excellent command of the Office package (Word, Excel, e-mail) and a very good level of written and spoken English to communicate with colleagues and/or customers.
You are recognized for your availability and sense of service and enjoy working in a team.
You have a great sense of organization and rigor You demonstrate a good adaptability to emergencies and unexpected events.
You know how to handle multiple files at the same time while managing priorities. Your discretion and sense of confidentiality is essential in this role.
Experience in project management or document control is a plus.
